The Role: Senior Executive Assistant

The Senior Executive Assistant will be a member of the Munich Re Ventures Operations team, enabling our ability to scale our organization and execution capabilities across geographies, investment sectors, Munich Re businesses, and a growing number of portfolio companies. The position will primarily support the Managing General Partner and COO and report to the Operations Sr. Manager.

Key Responsibilities

  • Schedule all meetings and appointments, and maintain calendars for the Managing General Partner and COO
  • Communicate schedule and information or materials needed to prepare senior team members for meetings or appointments
  • Make travel arrangements, including complex international trips and coordination with other personnel
  • Prepare and edit reports, meeting minutes, agendas, and correspondence
  • Maintain files and/or records and ensure they are securely contained
  • Proofread critical documents, presentations, reports, blogs, etc
  • Assist in other functions such as Accounts Payable, Signature management on deal documents, expense reports, etc
  • Assist Managing General Partner and COO with other routine tasks as needed for them to smoothly maintain their schedules

The Person: Successful Candidate

The successful candidate will be a one-part administrator/assistant and one-part problem solver. Relevant experience coupled with proactiveness, initiative, strong judgment, and foresight to assist is crucial. Additional specific skills include the following:

  • Professional, clear, articulate, and accurate, both verbally and in writing
  • Ability to be proactive and anticipate the needs of the Managing General Partner and COO
  • Experience interacting with senior executives and board members at large corporations
  • Booking and managing complex international travel
  • Coordinate video and audio conference calls
  • Ability to handle information with discretion and confidentiality
  • Personal Characteristics & Skills: Self-motivated with high initiative and foresight, accuracy, active listening, ability to follow directions, ability to work independently, assertiveness, diplomatic, multitasking, meeting deadlines, prioritizing, problem-solving, project management, reliability, ability to work under pressure, and ability to work in ambiguous situations

Requirements and Qualifications

  • 5+ years of relevant experience supporting senior executives in a global corporation with demanding internal and external schedules
  • Prior experience in Venture Capital, Private Equity, or a similar field is preferred
  • Bachelor’s degree from an accredited academic institution is preferred but not required
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint, and SharePoint)
